How services work

The three service types, how spots fill, and what buyout does.

A service is what you sell. It carries the title, the type, the capacity, the price and the cancellation terms. It does not carry a time: that is a session.

You will usually have a handful of services and many sessions running off them. One "Private lesson, 60 min" service can back every private slot you put up for the rest of the year.

The three types

Private. One-to-one on a court to yourself. One player, or one party, books the whole thing.

Group. Several players share the court. Set the capacity to the number of spots.

Event. A one-off clinic or social. Same mechanics as a group, but it reads differently to players and is the right label for something that is not part of a regular programme.

How spots fill

For anything with a capacity above one, you choose how it fills:

Shared. Players book spots independently. Four different people can each take one of four spots and none of them need to know each other. This is the normal choice for a group clinic.

Exclusive. One party books the whole court. A group of four friends books together as a single booking, and no stranger can join them. This is the normal choice for a private lesson where the capacity is above one.

Buyout

If a service is shared, you can also allow buyout: a party can pay for the remaining spots to take the session private.

This is for the case where two players want the court to themselves and are happy to cover the empty spots. Without buyout, spots always fill independently and there is no way for a player to close the session off.

Duration, location and description

The duration is the default length of a session running off this service. You set the actual start and end time per session, so this is a convenience rather than a rule.

The default location is a default too. If nearly all your private lessons are at the same club, set it on the service and every session you create off it starts with that venue already selected. You can still change it on an individual session. See how locations work.

The description is what players read on your booking page under the session. Say what the session actually is, who it suits, and what to bring. This is the field that does the selling, so it is worth more than one draft.

Turning a service off

Services are never deleted, they are deactivated. Deactivating one stops it appearing when you create new sessions, and takes it off your booking page, but leaves every existing session and booking exactly as it was. You can reactivate it at any time.

The services list shows both active and inactive services, so a service you turned off in March is still there in October when you want it back.

Who can change them

Creating and editing services is owner-only. If you are a coach on someone else's brand you can see everything, but the controls are read-only rather than hidden, so you can tell what is there and ask the owner to change it. See Roles and brands.
