Your clients
The roster of people who have booked with you, and what you can do with it.
Clients in the sidebar is the list of people who have booked with your brand. It is scoped to the brand, so a player who books with two of your brands is two separate client records.
How clients get there
Three ways:
- Automatically. When someone books through your page, a client record is created from the details they entered.
- By hand. Use Add client for someone you know who has not booked online yet, for example a long-standing player you have always arranged over text.
- While adding them to a session. Choosing Someone new when you add a player yourself creates the client at the same time, so a walk-in does not need setting up first.
An email is what ties these together. A booking whose email matches an existing client attaches to that client rather than making a second one, so it is worth capturing when you can.
What a client record holds
A name, an email and a phone number. Phone numbers are stored in international format, so include the country code.
That is the whole record. There are no notes, no tags and no history you write yourself. What you get instead is the booking history: open a client and you see every booking they have made with you, and can open any of them.
The detail page also shows when they first booked with you, and makes the email and phone tappable so you can get in touch without copying anything out.
Searching and archiving
Search matches name, email and phone.
Archiving a client takes them out of the default list without deleting anything. Their bookings stay exactly as they were. Turn on Show archived to see them again, and restore whenever you like.
There is no way to merge two client records. If the same person books once as "Dave" and once as "David Chen" with different email addresses, you will have two records and no way to join them, so it is worth keeping your manually added clients tidy.
