Add a player yourself
Book someone in by hand, for a walk-in at the court or anyone who arranged it with you directly.
Not every booking starts on your booking page. Someone turns up at the court and asks if there is room, a regular texts you on Tuesday about Thursday, a parent sorts it with you at pickup. You can book those people in yourself.
Adding someone
Open Sessions and tap the session. That opens its roster: everyone booked in, and what each of them owes or has paid.
Then Add player:
- Who is coming. Search your clients for someone who has booked before, or switch to Someone new and type their name. Email is optional but worth adding: it is how their next booking finds the same client record instead of creating a second one.
- How many people. One booking can cover a group, the same way a player booking online can bring friends.
- Payment. Cash, PayID, bank transfer, or Not paid yet.
Say they have paid and the booking is confirmed straight away with the payment recorded against it. Say Not paid yet and the booking is created unpaid: the spot is held, and you settle it later with Record a payment on the booking. See Offline payments.
The price comes from your service
You cannot type an amount here. The price is worked out from the session's pricing exactly as it is for a player booking online, so a booking you add can never quietly disagree with what you charge everyone else.
If you actually took a different amount, add the player first, then open the booking and use Record a payment, which does let you enter the real figure.
Your booking page is still card-only
This is your side of the desk. A player visiting your booking page still has to pay by card there; they cannot choose to pay you in cash themselves. Anything paid offline is something you enter.
The useful consequence: you do not need payments switched on to do this. If you run on cash today and have never connected a payout account, you can still run your whole roster in Arvald.
Timing does not stop you
Your booking cutoff and the session's start time do not apply to a booking you add. The cutoff exists to stop players booking a session you can no longer staff, which is not the same as you logging the person standing in front of you. So a walk-in works, and so does filling in a session that has already finished, when you are catching the records up afterwards.
What will stop you
A full session. Capacity is a fact about the court, so Arvald will not oversell it. If you genuinely have room for one more, edit the session and raise its capacity, then add the player. That keeps the number of spots left honest rather than hiding an extra body.
A cancelled session. There is nothing to add anyone to.
A one-party session. If the service only takes one booking at a time, a second party cannot be added, whoever adds it.
Unpaid bookings you add do not expire
When a player abandons checkout on your booking page, the hold times out and the spot comes back on its own. A booking you added has no checkout behind it, so nothing expires it. It holds its spot until you cancel it.
That is usually what you want, since it is a real reservation and not an abandoned browser tab. But it does mean that if someone drops out, cancelling the booking is what frees the spot.
